Bristol to Bristol Terms and Conditions 2021 TERMS AND CONDITIONS PROPS Bristol to Bristol Booking Conditions Your booking is with Providing Opportunities and Support (PROPS), registered office at The Vassall Centre, Gill Avenue, Fishponds, Bristol, BS16 2QQ. Registered in the UK as Charity 3985824. For more information see https://www.propsbristol.org/. Your Booking Your booking is for the Bristol 2 Bristol charity cycle event on Friday 9 July, 2021, as described on https://www.bristol2bristol.com/. Your booking will exist as soon as we are in receipt of your registration form, and deposit payment and have issued you with a confirmation email. This booking is made on the terms of the booking conditions detailed in this document. When you make a booking, you guarantee that you accept the terms of these booking conditions. It is your responsibility to let us know, at the time of booking (or as soon you become aware) whether you require extra assistance in respect of any disability you may have or if there you have any special requests. Please note that we will try to accommodate special requests that are reasonable but cannot guarantee this, particularly where such requests are outside of our control. The event The organisers, PROPS, will publish seven routes within a week of the ride: a circular route around Chew Valley Lake, or 50, 75, 100, 125, 150 and 175 miles. We Riders will be dispatched in groups based on distance entered and ride teams (where applicable). The event is a self-supported bike ride. We will provide limited feed stations and bike maintenance/support. All participants are expected to be self-reliant in respect of food, water, and bike/equipment servicing. Exclusions As a condition of booking with PROPS, you must arrange your own insurance for the event to cover you and your equipment (including but not limited to your bike, bike accessories, and personal items carried with you or on your bike and baggage/equipment left in our care). Payments When registering for this event you must pay the deposit applicable, as disclosed on our website. Cost of entry is £35 per person. The entry fee covers costs to run the event, limited food stations and support. As this is a charity event, we also encourage MAXIMUM fundraising for our charity, PROPS! For this reason we ask that you commit to raising an additional minimum sponsorship of £100 per person by 31 July 2021. The contribution can be made one of two methods selected at the time of entry: Pay the registration fee of £35 and fundraise for the remaining £100 Pay the full amount of £135 at the time of registration and decide if you wish to fundraise additional funds at a later stage The charity, PROPS, hugely benefits from this fundraising and we encourage you doing all you can to raise the additional funds. Entrants wishing to raise their own donations are to setup their own registration pages using publicly available services. PROPS reserves the right to amend the prices of any of the events offered on our website. You will be advised of the current price of the event that you wish to book before your booking is confirmed. Cancellations You may cancel your entry at any time. In the event that you cancel your entry, email notification must be received by PROPS at [email protected]. Since we incur costs in cancelling your arrangements, we can only offer a full refund if cancellation is received by 31 May 2021. All cancellations after this date will receive no refund of the entry fee. Note: If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges from your insurer PROPS reserves the right to cancel your booking. The more likely scenarios in which we may cancel include, but is not limited to: unavoidable and extraordinary circumstances failure by you to pay the entry or other fees owed the minimum number required for the event to go ahead not being reached If PROPS cancel the event or your entry, our liability will be limited to a refund of fees less costs incurred. Funds raised for PROPS will not be refunded. ‘Unavoidable and extraordinary circumstances’ means a situation beyond our control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Such circumstances include, but are not limited to, war, terrorist activity, civil unrest, industrial dispute, epidemic, earthquake, flood or other extreme weather event (actual or threatened) or any act of any government authority. This includes social gathering restrictions due to COVID-19. Our Liability to You You must inform us, without undue delay, of any failure to perform or improper performance of the services provided in running this limited event so that we may put things right. Our liability, except in cases involving death, injury or illness, shall be limited to a maximum of three times the cost of your entry fee. Where we cannot provide the same service as advertised, an equivalent alternative will be provided. PROPS will not refund the full or any part of the entry fee if the service is different to that advertised. Complaints If you have a complaint about any of the services included in your event, you must inform PROPS without undue delay and we will take all reasonable steps to rectify any problem. If your complaint is not resolved to your satisfaction at the time, please follow this up within 28 days of your return home by contacting us directly, via email at [email protected]. Additional assistance If you experience any difficulty during the event and ask us to help we will provide appropriate assistance, in particular by providing information on health services, local authorities and consular assistance; and help you to find alternative arrangements and any necessary phone calls/emails. You will be liable to pay any cost we incur, if the difficulty is due to your personal circumstances or requirements. Law and Jurisdiction All bookings are made on the terms of these booking conditions, which are governed by English Law, and the jurisdiction of the English Courts. You may however choose the law and jurisdiction of Scotland or Northern Ireland if you live there and wish to do so. Your Privacy All personal details provided to us or images/personal information taken by us during the event will be processed in accordance with our Privacy Notice, published on our website. Your health We advise all customers to ensure that they are fit enough to participate in this event. Please consult your doctor, practice nurse or travel health clinic and/or obtain the relevant advice. If you have any medical needs, then please ensure that we and someone known to you and able to support you on the day is made aware. Event information These will be provided to you prior to the start of the event and may arrive by post or email (as appropriate). Whilst we try very hard to deliver your event information in a timely manner, and to make sure it is both accurate and comprehensive, sometimes circumstances beyond our control may prevent us from providing the exact itinerary that is advertised and in such circumstances we do not assume liability for any loss of the advertised elements of the itinerary. Insurance You must arrange adequate insurance for your own possessions, including bicycles and other sports equipment, etc. Please note, we are unable to insure your possessions, as we do not have an “insurable interest” in these.
